Job description
Your Mission
You ensure that our daily business runs in a structured, efficient, and meaningful way. You are not just an assistant but the organizational centerpiece that holds together and improves processes. You work with many areas, understand internal processes, and bring clarity to data, documentation, and communication.

Your Tasks
Recording, checking, and preparing incoming and outgoing invoices to support accounting
Coordination of national and international shipping and logistics processes, including the preparation of relevant shipping documents
Maintenance and updating of articles, supplier, and customer data in the ERP system
Order processing, price comparisons, and administrative support for suppliers
Structured organization of daily office operations including appointment management, correspondence, and material disposition
Support for R&D, purchasing, and other departments in administrative tasks, data management, and documentation processes
Independent coordination of fleet and facility management issues, including maintenance, service provider control, and organizational processes
Preparation and follow-up of meetings
Design and development of a structured, tidy workplace (5S/5A principle) and standards for order and hygiene
What You Bring
Completed commercial training, ideally in the field of office, industrial, or administrative organization
Professional experience in administrative, organizational, or commercial activities
Basic knowledge of accounting and/or purchasing, complemented by a quick grasp of processes
Proficient in MS Office and initial experience working with ERP systems (e.g., Microsoft Business Central)
Structured, reliable, and independent way of working with a high quality standard
Strong communication skills in German (English skills advantageous) and enjoyment of interdisciplinary collaboration
Precise handling of data, documents, and administrative processes
