Job description

Your Mission

You are the right hand of our Executive Board – and a key representative of REPLOID, both internally and externally. As an Executive Assistant to the Board (f/m/d), you ensure that the Board’s day-to-day activities are structured, prioritised, and managed reliably. You provide comprehensive organisational and operational support, prepare well-founded decisions, and ensure that resolutions, action items, and deadlines are consistently followed up.
You are at the heart of the action: You engage openly and confidently with people, navigate effectively between executives, employees, and external partners, proactively obtain relevant information, and pursue matters with tactful persistence until they are successfully completed. With your business acumen, organisational talent, and forward-thinking approach, you create transparency and continuously improve existing processes.

Your Tasks

  • Independently manage calendars, appointments, and travel arrangements, including thorough preparation and follow-up

  • Prioritise incoming matters according to urgency, importance, and the need for executive decisions, while maintaining follow-up systems and a clear overview of outstanding items

  • Prepare agendas, briefings, meeting minutes, presentations, and concise decision papers

  • Research and analyse complex topics and present findings in a clear, structured, and audience-appropriate manner

  • Consistently track resolutions, action items, responsibilities, and deadlines

  • Coordinate and manage correspondence with the Executive Board, senior management, employees, and external partners in both German and English

  • Prepare and support international meetings and business travel

  • Compile and review key performance indicators, budgets, quotations, and business cases, while supporting planning, reporting, and cross-functional projects

  • Analyse existing workflows and develop simple, scalable standards and processes, documented in Notion and Microsoft 365 and supported by modern AI tools

What You Bring

  • Completed commercial or business administration training or a university degree in business administration or a related field

  • Experience in executive assistance, project coordination, process management, or a comparable position of responsibility

  • Sound business acumen and strong numerical skills

  • Excellent written and spoken German and English, at a minimum of C1 level

  • Proficiency in Microsoft 365 and a strong affinity for AI tools; experience with Notion is an advantage

  • A highly structured, meticulous, and forward-thinking approach to work, combined with a high degree of personal accountability

  • Strong prioritisation, organisational, and problem-solving skills

  • An open and confident personality with excellent communication skills, the ability to approach people proactively, drive topics forward, and manage stakeholders professionally

  • Reliability, discretion, and loyalty when handling confidential information, as well as a willingness to travel approximately 30–40%, primarily to Wels
